Job Description:
Southern Integrated Solutions and Consulting (SISC) is searching for a Project Administrator. The Project Administrator will play a crucial role in supporting the Project Manager with daily organizational details and ensuring smooth project operations. The position involves coordinating various project tasks, procurement, inventory tracking, invoice reconciliation, maintaining project documentation and folder structure, and handling other administrative functions to support the efficient execution of projects. The ideal candidate for this position is highly organized, detail-oriented, and capable of managing multiple tasks simultaneously. They will be proactive, reliable, and able to communicate effectively with both internal teams and stakeholders. Responsibilities:
- Assist Project Manager(s) with organizing project activities and ensuring timelines are adhered to.
- Coordinate procurement activities, including purchase tracking, item management, and vendor communications.
- Maintain PM Tracker of all active projects. This includes all projects breaking out by milestone date, with invoice amounts, accumulative invoice amount, and totals.
- Participate and lead weekly PM meeting reviewing the PM Tracker mentioned above.
- Manage invoice reconciliation to ensure proper documentation of purchases and expenses.
- Submit and maintain daily job reports.
- Handle time entry and reconciliation for project staff to ensure accurate payroll and billing.
- Maintain organized and up-to-date project folders, ensuring all documentation is accessible and stored properly.
- Support general administrative tasks as needed to ensure project goals are met.
Qualifications:
Education & Experience:
- 2-3 years’ experience in project support / project administration
- Bachelor’s degree – preferred
- Eligibility to work in the US (US Citizen or Greencard Holder)
Hard Skills:
- Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, Project) and project management software
